After clicking "Copy Signature", paste it directly into the signature settings of Gmail, Outlook, or similar email clients — font colors and weights are preserved, so there's no need to reformat manually.

About Email Signature Generator

The Email Signature Generator helps you build a clean, consistent text-only email signature. Fill in your name, job title, company, phone, email and website, pick an accent color, check the live preview, and click 'Copy Signature' to paste a formatted signature into your mail client's settings. It produces a plain, text-based layout. There's no upload for a photo or company logo, no social media icons or QR code, and no choice of layouts. If you want something simple and universal that's unlikely to break across mail clients, that's what it's for.

How to use

  1. The form is pre-filled with sample data (a name, a product manager title, the site's own name and so on). Replace each field with your own: Name, Job Title, Company, Phone, Email and Website (optional).
  2. In the 'Accent Color' row, click one of the five round swatches; the selected one gets a dark outline. The accent color is used for your name and the rule beneath it.
  3. Check the result in the preview. The first line is your name in bold, the second line reads 'job title · company', then comes a 200-pixel-wide colored divider, followed by phone, email and website.
  4. Click 'Copy Signature' at the top right. The button briefly changes to 'Copied'.
  5. Open your email settings, find the signature editor, paste (Ctrl+V or Command+V) and save. It's a good idea to send yourself a test email to see the real result.

What the signature looks like

The whole signature uses Arial at 14 pixels. The name is 16 pixels, bold and in your accent color, and the title and company are gray. All styling is written directly on the elements (inline styles), which is why it tends to keep its appearance inside mail clients. Phone and email lines carry a text label ('Phone' and 'Email'), in the language the interface was set to when you copied. If a field is left blank, its line is omitted; leave out the website and that line disappears.

Supported range and known limits

  • One fixed layout and five accent colors (dark green, blue, orange-brown, purple and teal). You can't pick an arbitrary color or change the font, size or layout.
  • No images: no photo, logo, social icons or QR code.
  • The website is output as plain text and is not made into a clickable hyperlink; the email address isn't a mailto link either. Some mail clients auto-detect URLs on the recipient's side, but the tool doesn't guarantee that.
  • Copying writes HTML first. If the browser doesn't support rich-text copying, it falls back to plain text, and color and bold are lost. If copying fails (for example, clipboard access is denied), the page shows no error.
  • Some plain-text fields or apps that don't accept rich text may paste nothing or only the words. That's a limit of the target app.
  • Whether color and bold survive depends on how your mail client handles pasted formatting. It hasn't been verified against each client, so rely on your own test.
  • If you fill in a title but no company, line two shows the title alone. If the title is empty but the company is filled, line two starts with ' · '. Fill in both or neither.
  • Nothing you enter is saved. Reloading restores the sample content, so copy and store the signature in your mail client once you're done.

FAQ: I pasted it and the colors are gone.

First make sure you pasted into the rich-text signature editor and not a plain-text box. Then try clicking 'Copy Signature' again. If there's still no formatting, your browser may not support rich-text copy and fell back to plain text; try a current version of Chrome or Edge.

FAQ: Can I use it in a phone mail app?

You can paste it into the signature setting of a mobile mail app, but many of those apps only support plain-text signatures and will strip the formatting, leaving just the words. That's the app's limitation.

FAQ: What should a business signature contain?

Usually your name, title, company and one reliable way to reach you. More than that tends to look cluttered and exposes more personal information. For external email, consider using only a work phone and work address rather than a personal mobile number or home address.

FAQ: How should I pick the accent color?

Choose one close to your brand color that reads clearly on a white background. All five swatches are mid-to-dark tones and are legible on white. If recipients use a dark-mode mail client, handling of colors varies, and the light-gray title text in particular may become hard to read.

Privacy and processing

According to the code, the signature is generated entirely in your browser. The name, phone, email and other details you type are used only for the preview and for the clipboard copy. They aren't sent to a server or saved. The preview content is written to your system clipboard only when you click copy.
