About Receipt Generator

This tool helps you produce a tidy payment receipt after you have been paid, ready to print or save as a PDF. You enter the payer and payee names and contact details, a receipt number, the payment date and method, and then one or more line items with a quantity and unit price. The page works out each line amount and a Total Received figure, and shows a live preview of the finished receipt below the form. It only handles layout and arithmetic. It does not auto-increment receipt numbers, add stamps or signatures, or keep any record of what you issued. Whether a receipt carries legal or tax weight depends on your jurisdiction and on what the two parties agreed, and this tool cannot advise on that.

How to use it

  1. Fill in the Payer and Payee blocks with a name and contact info for each. The text already in the fields is placeholder sample text, so replace all of it with real details before printing.
  2. Type your own numbering into Receipt Number, for example a year plus a running number. The tool never changes it for you, so edit it by hand for each new receipt.
  3. Pick the Payment Date. The date field starts out as today's date on your device (local time).
  4. Choose a Payment Method from the dropdown: Cash, Bank Transfer, WeChat Pay, Alipay, Credit Card or Other.
  5. Under Payment Details, fill in Item Name, Qty and Unit Price for each row. Click Add Item for more rows, or use the trash icon at the end of a row to remove it.
  6. Review the preview, confirm the Total Received, then click Print / Export as PDF. In your browser's print dialog choose Save as PDF as the destination. The form controls are hidden for printing, so only the receipt itself is output.

A worked calculation

The numbers below were produced by running the same arithmetic the tool uses. Suppose you enter three rows: Design service, quantity 2 at 1500.5; Printing, quantity 3 at 19.99; and Sundry, quantity 1 at 0.1. The line amounts display as 3,001.00, 59.97 and 0.10, and Total Received displays as 3,061.07; with a currency symbol of ¥ entered they show as ¥3,001.00, ¥59.97, ¥0.10 and ¥3,061.07. The method is simply quantity times unit price for each row, added together, with two decimals and thousands separators applied at display time. If a quantity or price is empty or not a number, that value is treated as 0.

Limits and known quirks

  • Amounts use thousands separators and two decimals. The optional "Currency symbol" field is empty by default (no symbol shown); if you fill it in (up to 5 characters, such as ¥, $ or €) it is placed before the amounts in unit price, line amount and total, and a negative sign goes before the symbol (for example -$1,500.00).
  • There are no fields for tax, discounts, deposits or amounts written in words. Total Received is just the sum of the line amounts.
  • Negative quantities or prices are allowed for refunds or adjustments and reduce the total; a hint under the item rows says so. Check yourself that a refund-style document meets your accounting requirements.
  • The layout is fixed. You cannot upload a logo, a stamp image or a handwritten signature; add those to the exported PDF with another tool if you need them.
  • Nothing is saved. Refreshing or closing the page clears your entries, so export before you leave.
  • The six payment methods are fixed and cannot be customised. The English interface shows their English names.

Can a receipt replace an invoice?

Not in general. A receipt shows that a particular amount was received on a particular day by a particular method. An invoice is the document used for tax purposes. Company reimbursement and bookkeeping often require an invoice, while personal loan repayments, deposits and informal freelance payments frequently need nothing more than a receipt for both sides to keep. Follow your finance policy or tax authority when in doubt.

Why does my printed PDF show extra text at the top or bottom?

Browsers can add headers and footers such as the page address and date when printing. Open More settings in the print dialog and switch off Headers and footers for a cleaner page. The receipt itself is dark text on white, so it stays readable even if background graphics are not printed.

How many items can one receipt hold?

The page sets no limit; keep clicking Add Item. The preview is one continuous block, though, so a very long list will be split across pages by the browser. Where it breaks is up to the browser, and the table header may not repeat on the next page, so check the print preview when you have many rows.

Can I use Chinese or other non-Latin text?

Yes. Everything is ordinary text on a web page that your browser then prints, so Chinese, English and common symbols all work. The typeface depends on your system fonts.

Is anything I type sent to a server?

No. All input and arithmetic happen in your browser, and the page does not send form contents anywhere. The Print / Export as PDF button simply calls the browser's own print function. Because nothing is stored, the content disappears when you close or refresh the page.

Privacy and processing

Names, contact details and amounts stay in the current page's memory. The tool does not transmit them to a server or write them to local storage. The PDF is produced by your browser and operating system print components, and you decide where it is saved. On a shared computer, close the page after printing and delete any downloaded file.
